End-user flow: Manage a party
This guide provides a walkthrough of the different ways a party administrator (and/or owner) can manage their party. For the instructions detailed in this guide to work, you need to have at least the Administrator role.
1. Party members
1.1. Inviting members
Under “My party”, in your user panel, click on “Invite members”.
This will redirect you to a new page called “Invitations to party”, where you can see an overview of all sent invitations, and whether they have been accepted, declined, or cancelled.
To send an invitation to join the party, click on “+ Invite party member” and fill out the form that appears. That means filling in the name of the person you wish to invite, their email, and the role you wish to attribute to them
Inviting members with different roles essentially means granting them different rights within the party. It also means that they will have slightly different end-user journeys.
Party Member & Administrator: End-users who are invited as party members or administrators will be prompted to join the party.
Candidate: Once a party member is invited with the candidate role, they will be prompted to join the party and create their candidate profile right away.
Below, you can see the different rights and permissions each role has within the frontend:

Additionally, you can write a customised message to be sent in the invitation. Once you are done filling in all the necessary information, click “Send invitation”.
An email invitation has now been sent. You can find this recorded in the “Invitations to party” overview page.
1.2. Revoking an invitation
Any invitation that has not yet been accepted can be revoked by clicking on the button of the specific invitation. Once an invitation has been revoked, it will take the “Invitation revoked” status.
Revoking an invitation essentially means that the invitee is no longer able to join the party. This will not take back the email invitation sent initially. If the invitee still tries to join the party through the invitation, they will be directed to a page showing “Invitation revoked”:
Note that once an invitation has been revoked, the party admin can no longer send another invitation to the same email address of the previously revoked invitation.
2. Recommenders
2.1. Inviting recommenders
Under “My party”, in your user panel, click on “Invite recommenders”.
To send an invitation to endorse the party, fill out the form that appears. That means filling in the name of the person you are sending the invite to, and their email. Additionally, you can write a customised message to be sent in the email.
An email invitation has now been sent. You can find this recorded in the “Recommendation invitations” overview page.
2.2. Revoking a recommendation invitation
Any recommendation invitation that has not yet been accepted can be revoked by clicking on the button of the specific invitation. Once the invitation has been revoked, it will take the “Invitation revoked” status.
Revoking an invitation essentially means that the invitee is no longer be able to recommend the party. This will not take back the email invitation sent initially. If the invitee still tries to accept/decline the recommendation invitation through the email sent, they will be directed to a page showing “Request revoked”:
3. Party leader
Under “My party”, click on the “Edit” button.
This will open a new page in which you can select a leader for your party. Scroll down to find a “Select Party Leader” section and choose a name from the dropdown menu under “Party leader”.
Once a member has been chosen, click “Update Party” to finalise the process. Now, your party profile will display the name of the party leader within it.
The party leader can be changed at any time.
4. Admin rights
Under “My party”, click on the “Party members” tab – this will redirect you to the party members management page.
From the “Party members” page, you can see the different roles attributed to the different party members. From here, you can grant and/or remove admin rights. A party administrator can approve candidate profiles, edit the party’s information, select a party leader, and invite & manage party members and their roles.
To grant and/or remove admin rights of a party member, start by clicking on the name of the party member:
If the member already has admin rights and you wish to remove them, then simply click on the “Remove administrator rights” button, followed by “Confirm” in the confirmation pop-up.
Otherwise, if the member does not have admin rights but you wish to grant them, click on the “Grant administrator rights” button instead, followed by “Confirm” in the confirmation pop-up
5. Candidates
5.1. Moderating candidates' profiles
To moderate a candidate’s profile, click on the candidate’s name with the “In preparation” status in the “Party members” page. The profile’s status can be seen under “Candidacy status”.
Note that you can approve and/or disapprove a candidate’s profile at any time, regardless of whether their status is “In preparation”.
From the “Party member details” page, you can see their candidacy profile and approve it by clicking on the green “Approve” button.
To disapprove a candidate’s profile, it first needs to be approved. Afterwards, you can click on the “Disapprove” red button – this will return the profile to “In preparation” status.
The status of the candidate’s profile will then change in the “Party members” page. Additionally, only approved candidate profiles will be made visible under the party profile.
Please note that, to be able to moderate candidates' profiles, the system requires the feature “Moderated” to be enabled in the backend – read more here.
5.2. Changing the order of candidates
Changing the candidate order simply means that you are changing the order of how party members are shown in the party profile. To do so, from the “Party members” page, click on the “Change candidate order” button.
This will redirect you to a new page in which you can alter the order of the party members. This can be done by simply clicking on the arrows of each party member to move them up and down.
Note that you can alter the order of all party members (candidates and non-candidates), but only party members with a candidacy are shown in the party profile. That means that only the order of those members will also be displayed. See the example below:
In the following example, there is a party member without a candidacy (this can be seen by the red “x”) in position three.
But in the party profile, only the two party members with candidacy profiles are displayed.
