Parties
A party is a grouping of candidates and other members; it allows candidates to run their candidacies under a party affiliation. Parties can be created and managed in two ways: in the frontend by the end-user, or in the backend of Candidacy by a system admin or user.

When you click on the “Parties” tab on the left-hand side menu, you are met with the parties overview page. On this page, you can see an overview of all parties, create new parties as well as download an .csv file with all parties' data.
On this page, you can find the following fields:
Id: This is a unique ID number that the system creates for every party. This information is static and cannot be changed or removed.
Position: Shows the position/order in which the parties will show up in the frontend. The position is attributed to each party in order of creation. Otherwise, positions can also be modified.
Party Name: Shows the name of the party.
Party owner: Shows and links the account of the one who created the party.
Party leader: If a party leader has been assigned to the party, this field will show and link their account.
Groups: Shows which group the party is assigned to.
Created at: Shows the time and date of creation of the party.
Updated: Shows the time and date of the latest changes made to the party.
Member counts: Shows the number of members that joined the party.
Status: Shows the status of the party’s profile. A party’s profile can have four statuses:
“Approved”: When a party is approved.
“Review requested“: When a party owner has requested approval of their party, and thus is ready for review by an admin.
“Missing recommendations”: When recommendations are enabled for parties, and a party is missing the minimum required recommendations.
“In preparation”: A party could be “in preparation“ for three reasons:
The party owner has not requested approval of their party, and thus it is still under “preparation”.
The party has reached the required minimum recommendations.
“Latest review rejected“: When a party owner’s approval request of their party was rejected.
Recommendation count: Shows the number of recommendations given to the party.
If you click on the underlined fields, the data will be displayed in ascending (shown with an arrow pointing up) or descending (shown with an arrow pointing down) order according to that column. Note that you can only order the data by one field at a time.
Search fields: The search bar at the top allows you to search for parties by the following information: their name, status, number of members, number of recommendations, and which group(s) they belong to.
1. Create, edit, and delete parties
To create a new party manually in the backend, start by clicking on the button and selecting “New”.
You will then be met with the party form, which was defined previously. The fields to fill out depend on the setup of the form – see more on setting up a form here. As a minimum, you will have to fill out the required fields.
Aside from the form fields, you are also able to add additional information about the party under the “Note” textbox at the end of the form. This information will only be visible to other system admins (in the backend only).
Once information is added to the “Note” field, a new field will appear in the “Parties” overview page showing the notes of each party.
Once all necessary fields are filled and set up properly, click “Create Party” at the bottom of the page to finalize the party’s creation. When creating a party like this, you will then need to associate a party owner with it – read more on this below.
Once a party is created, all of its information will be visible in the backend, and it can be edited at any point. You can edit a party by clicking on the magnifying glass next to the respective party.
This will open up the party’s profile page, in which you can then edit its information.
Recommended size & resolution for party profile images
Depending on how the party form has been set up, creating a party profile may involve uploading a profile image. The best resolution for these images is 400x400 pixels, at a 1:1 ratio.
Delete a party
A party can be deleted at any time by clicking on the “Delete party” button inside the specific party. You can access the party by clicking on the magnifying glass next to its name from the “Parties” overview page.
Note that when deleting a party that has candidates affiliated with it, their profiles will not disappear – only their affiliation to the party disappears.
1.1. Download data
To download the Parties data, click on the three-dotted button and select “Download data”.
This function outputs a .csv file containing the form information for each party. The information in this file depends on the fields added to the Parties form – read more about forms here.
The information that will always show in the .csv file, regardless of the form fields, is: Id, position, party leader, note, time of creation and update, number of members, and current status.
2. Manage party members
Under “Party members”, you can manage the members of a party and their roles, as well as add new members or remove members.
By clicking on a specific person’s name, you access their party account, in which you can edit their role as well as delete their affiliation to the party. In the latter, note that members do not receive a notification of their affiliation removal.
To add a new member, click on the “New Party Member” button to the right of “Party members”. This will open a new page in which you need to select the account of the person you wish to add to the party, as well as choose their role within the party.
All new members added to the party will then be visible under “Party members”.
2.1. Party members
From a party’s profile page, you can also see an overview of all the party’s members and relevant information about each. Start by clicking on the “Manage Party Accounts” button to the right of “Party members” to be redirected to the following page:
Here, you can see the following fields:
Search filters: The search bar at the top allows you to search for party members by their account email, role, and whether they are a candidate or not.
Id: This is a unique ID number that the system creates for every member. This information is static and cannot be changed or removed.
Position: This shows the position/order in which the party members will show up in the frontend. The position is attributed to each member in order of creation. Otherwise, positions can also be modified – read more on that below.
Account: This shows which account is associated with the member. Clicking on the horizontal arrow next to the name will redirect you to the account overview of that member.
Role: This shows the role attributed to the party member. There are three roles, each with distinct permissions. A party member’s role can be changed at any time.

Member | A member can join a party, see its information (but not edit it), and become a candidate for the party. |
Candidate: This shows whether the person is a candidate or not. Only candidate profiles are displayed within the party profile in the frontend.
Created at: This shows the time and date of addition of the party member.
Updated: This shows the time and date of the latest changes made to the member’s information.
Add a new party member
Within the “Party members” page, you can also add new members to the specific party. To do so, click on the button, followed by “New”. From there, select the account and the role of the new addition.
The newly added member will now show up in the “Party members” overview page.
Download all party members' data
To download the party members' data, click on the three-dotted button and select “Download data”.
This function outputs a .csv file containing each member’s information, as shown in the image below:
Change the order of the members' position
You can alter the order of how party members are shown in the frontend. To do so, click on the three-dotted button and select “Order candidates”.
This will open a new page, “Order candidate positions”, in which you can order the positions of candidates and all other members without a candidate profile.
Note that even though you can order all members (including candidates), only the order of the candidate profiles is shown in the frontend.
2.2. Invitations to Party
From the “Party members” page, you can also see an overview of all the party invitations sent and their statuses. Start by clicking on the “Invitations to party” button on the top-right corner to be redirected to the following page:
Here, you can see the following fields:
Search filters: The search bar at the top allows you to search for specific invitations by the email of the recipients and by the status of the invitations.
Id: This is a unique ID number that the system creates for every invitation. This information is static and cannot be changed or removed.
Name: This displays the name of the person invited.
Email: This displays the email address of the person the invite was sent to.
Purpose: This refers to the role the person invited shall have if the invitation is accepted.
Created at: This shows the time and date of creation of the invitation.
Status: This shows the status of the invitation, which can be either “accepted”, “declined”, or “revoked“ (ie. when an invitation has been canceled).
Create a party invitation
To invite a new member to the party, click on the button, followed by “Invite party member”. This will open a new page in which the following fields need to be filled:
Language: This shows the language used for the automatic parts of the email. If more locales have been selected for the Candidacy site, then they will be available for selection here.
Inviter: Here, you select the sender of the invitation amongst the existing accounts.
Name: The name of the recipient of the email invitation.
Email: The email address of the recipient to which the email invitation will be sent.
Purpose: This refers to the role the person invited shall have if the invitation is accepted.
Message: Add a personal message to the recipient in the email. This field will only be visible if “Custom invitation message” has been enabled in the Party configurations.
The “Preview” button in the bottom-right corner shows a preview of the final email invitation.
Edit a party invitation
Only accepted and declined invitations can be edited at any point. To edit an invitation, click on the button of the specific invitation you wish to edit.
Once all changes have been made, save these changes by clicking on “Update invitation”. This will take you to a preview of the email invitation, where you can then resend the invitation by clicking on the button at the bottom of the page.
Revoking a party invitation
Any invitation that has not yet been accepted can be revoked by clicking on the button of the specific invitation. Once an invitation has been revoked, it will take the “Invitation revoked” status.
