How to create voters and adjust voter groups

 

Before you start testing the election setup, you have to add voters. There are two ways of adding voters to the election: first, through manually creating individual voters, and second, through importing a spreadsheet file containing the voters’ information.

 

The manual creation of a voter is a quick way to create a few voters if you need to test the election (or in case of missing voters discovered at the last minute). To get started, you will first need to make a voter group.

1.1. Creating a voter group

Voter groups are necessary as they determine a voter’s eligibility to vote in a given contest. To create a voter group, go to the “Voter groups” tab in the election menu to the left. 

  1. Click on the “+ New” button to create a new voter group.

  2. Fill in the name “Demo” in the “Name” field of the voter group. 

  3. Under “Contests,” check the “Example vote” box to enable it for the voter group.
    This means that every voter within this voter group is able to vote on the selected contest. 

  4. Click on the “Create Voter Group” button to save the configuration.

Voter groups may be edited at any time by clicking on the icon next to the voter group you wish to edit, . Here, you can change the name of the group and either subscribe them to or unsubscribe them from contests.

You now have a voter group and you can proceed to create voters.

1.2. Creating a voter

  1. Go to the “Voters” tab in the election menu to the left.

  2. Click on the “+” button in the upper right-hand corner and select “New voter” from the dropdown menu to create a single voter.

  1. You are now presented with all of the fields for the voter, each of which you need to fill out manually. Fill out each of the fields in the following manner:

All fields except “Identifier” may be edited later on if necessary.

  1. Click on the “Create Voter” button when you have filled in all of the required information to create the voter. The voter has now been created and the page you are on shows you the information about the voter, which can then be edited by clicking on the “Edit” symbol, .

  2. Finally, click on the “Voters” tab in the election menu to go back to an overview of the voters. You can now see the voter you previously created appear on the page of the voter overview. If you need to access the voter to edit their details or view more information about them, click on the magnifying glass symbol, .

If you have a large amount of voter data to add to your election, you should bulk import it by using the voter importer.

  1. Click on the “Voters” tab in the election menu to the left.

  2. Next, click on the “+” symbol in the top right corner and choose “Import voters” from the dropdown menu.

You are now on the page where you can import the voter file. For this import, you should use the following spreadsheet: . It contains the following fictitious data:

  1. Click on the “Import voters manually” button on the right side of the screen under “Manual import.” A pop-up window will appear where you can choose your file. Click “Choose file.”

  1. Select the .csv or .xlsx file with your voter data and click on the “Upload” button.

  2. Click on the “Map Columns” button to map the data columns from your file to the election system.

  1. Map the necessary information from the file to the system in the below manner:

After mapping the columns, your screen should look as follows:

  1. Click on “Save Changes.” 

  2. Check the data with the added mappings of the columns. If everything looks correct, click “Validate and import rows” to start importing your voters.

  3. As one of the last steps, in the “Preview of result” area, click on “Edit mappings.”

    1. Assign the voter groups accordingly. Because you have not created any voter group called A or B, select the option “Create group A” and “Create group B” for both options.

    2. Under Group A, ensure that the dropdown menu is on “Create Group A.”

    3. Under Group B, ensure that the dropdown menu is on “Create Group B.” This will create these two voter groups in the election system.

    4. Click “Save changes” once you are done, and you will be directed to the “Preview of result” page again.

    5. Click “Start mapping” to finalize the importing process. 

The system will show you an overview of the amount of voters imported and if any voter groups were created.

  1. Click on the “Voters” tab to go back and see if all of your voters’ data was imported successfully.

  1. Go to the “Voters group” tab in the menu to the left to view the newly-created voter groups from the file.

    1. Click on “A” from the voter group list.

    2. Click the edit symbol on Group A.

    3. Assign “Example Vote” under contest ids. 

    4. Click “Save changes.”

    5. Click on “B” from the voter group list.

    6. Repeat steps b. through d. for Group B.

Both new voter groups will now be able to vote on “Example Vote.”
