Quick Guide to Setting Up a Live Conference Election

This guide provides an overview of how you can set up and run a “Live Conference”- type election. It makes use of a fictitious database and examples to exhibit how someone may successfully prepare this type of election in Electa. To make full use of this guide, you must be an organisation owner. As this is a quick-start guide, it will not delve into every possible configuration within the election system.

Before Getting Started

To gain access to the system for the first time, you should have received an email invitation. Click the link to set up your new password in Electa.

Enter your password in the first field and repeat the same password in the field below. Electa requires a strong password which consists of at least 15 characters.

We also recommend that you bookmark this website in your browser so that you can always easily find your way back to the login page.

You should now have gained access to your organization on Electa and can begin setting up your first election.

How to Create a New Live Conference Voting Election

The “Live Conference Voting” format is used for an election which is run live. It includes a slide presentation feature in which voters can vote from their own devices either in person or from their chosen location, follow the progress of votes, and view published results in real time. A common example of where this format is most used is in general assemblies.

To get started, you will need to create your first election.

  1. Go to the “Elections” tab on the “Organisation” menu on the left.

     
  2. Then, click the “+ New Election” button and choose “Empty Election” from the dropdown menu to create a new election.

  1. Fill out the “Internal name” field with a name for the election which will only be visible to  system users. In this field, write “Demo Election 2024.” This will not be made public to any voter. 

  2. Choose the voter locale “English.” This will define the election language for voters.

  3. Under “Title,” enter “Election 2024” as the title of the election. This will be visible to voters. 

  4. Leave “Skip automatic E2E initiation” toggled off (grey). 

 

Finally, click on the “Create Election” button when you have filled in all of the fields.

You will land on the “Summary” page of the election you just created. The election has now been saved with your initial preferences and you are ready to set up the election’s configuration.
