Recommendations

Under the tab “Recommendations,” you can see all the recommendations given, all the invitations and their statuses, as well as create new recommendations. This page will take you through the backend page of “Recommendation”.

  • A recommendation is an endorsement given by other end-users to a candidate or a party.

  • Recommendations can be given in two ways: in the frontend by the end-user or in the backend by a Candidacy user or admin. Usually, recommendations will and should be created in the frontend by the end-user.

When you click on the “Recommendations” tab on the left-hand side menu, you are met with the recommendations overview page. On this page, you can find the following fields:

  • Search bar: The search bar at the top allows you to search for recommendations by their name and receiver of their recommendation.

  • Id: This is a unique ID number that the system creates for every recommendation. This information is static and cannot be changed or removed.

  • Position: Shows the position/order in which the recommendations will show up in the frontend. The position is attributed to each recommendation in order of when they were given to the candidate, from earliest to latest – it cannot be changed.

    • This is only visible when the names of the recommenders are set to be visible publicly. Read more here.

  • Account: Shows the account name of the recommender.

  • Target: Shows the candidate or party that is receiving the recommendation.

  • Name: Shows the name of the recommender

  • Created at: Shows the time and date of when the recommendation was given (ie. a recommendation invitation was accepted).

  • Updated at: Shows the time and date of when a change was done to the recommendation (for eg. when a recommendation is approved/disapproved).

If you click on the blue and underlined fields, the data will be displayed in ascending (shown with an arrow pointing up) or descending (shown with an arrow pointing down) order according to that column. Note that you can only order the data by one field at a time.

To create a new recommendation manually in the backend, start by clicking on the Screenshot 2024-09-23 at 12.46.07.png button and selecting “New Recommendation“.

You will then be met with the following fields:

  • Account: in this field, you select the account, amongst existing ones, from which to give a recommendation.

  • Recommending: here, you select the receiver of the recommendation amongst the existing candidates and/or parties.

  • Other fields, like Name in the image shown above, are dependent on how the recommendation form was set up. Read more here.

Every time a recommendation is given, all of its information (like the account the recommendation was given from, the target of the recommendation, etc) will be visible in the backend and it can be edited at any point.

You can edit a recommendation by clicking on the Screenshot 2024-12-12 at 09.56.46.png button. The fields of information that can be edited are “Account”, “Recommending”, and all other existing fields (which once again depend on how the recommendation form was set up).

Moreover, a recommendation can be approved or disapproved in the backend by an admin/user. Go to the Approve a recommendation guide to read more about approving/disapproving recommendations.

 

Delete a recommendation

A recommendation may be deleted at any time by clicking on the Screenshot 2024-12-03 at 15.01.57.png button inside the specific recommendation. You can access any invitation through the corresponding Screenshot 2024-09-23 at 13.00.24.png button in the “Recommendations” overview page.

To download Recommendations data, click on the Screenshot 2025-01-13 at 08.28.42.png button and selecting “Download data“.

This function will output a .xlsx file with the following information regarding all recommendation invitations:

  • Id: Shows the unique ID number created by the system for each recommendation

  • Position: Shows the position of the recommendation.

  • Account ID: Shows the unique ID number associated with the account that is giving the recommendation.

  • Account: Shows the account that is giving the recommendation.

  • Account identifier: Shows the identifier of the account that is giving the recommendation.

  • Recommending:

  • Target: Shows the candidate or party that is receiving the recommendation.

  • Target identifier: In the case of recommendations to candidates, this field shows the identifier of the candidate that is receiving the recommendation.

  • Name: Shows the name of the recommender.

  • Status: Shows the status of the recommendation - sent, accepted, rejected, or revoked.

  • Created at: Shows the time and date of creation.

  • Updated: Shows the time and date of the latest update.

In the “Recommendations“ page, you can also see an overview of all the recommendation invitations sent and their statuses. Start by clicking on the “Recommendation invitations“ button on the right-top corner to be redirected to the following page:

Here, you can see the following fields:

  • Id: This is a unique ID number that the system creates for every recommendation. This information is static and cannot be changed or removed.

  • Email: This is the email address to which the recommendation invitation was sent.

  • Target: Shows the candidate’s name requesting the recommendation.

  • Recommendation: Shows the name of the end-user to which the recommendation was sent. The name only shows if the recommendation invitation has been accepted (ie. the status has to be “accepted”).

  • Status: Shows the status of the invitation, which can be either “sent”, “accepted”, ”rejected“ or “revoked“ (ie. when a recommendation has been deleted).

  • Created at: Shows the time and date of when a recommendation invitation was sent.

  • Updated at: Shows the time and date of when a recommendation invitation was accepted or rejected.

To send a new recommendation invitation manually in the backend, start by clicking on the Screenshot 2024-09-23 at 12.46.07.png button and selecting “New recommendation invitation“.

You will then be met with the following fields:

  • Language: This shows the language used for the automatic parts of the email. If more locales have been selected for the Candidacy site, then they will be available for selection here.

  • Recommending: Here, you select the receiver of the recommendation amongst the existing candidates.

  • Inviter: The account from which the invite will be sent from.

  • Name: The name of the recipient of the email invitation.

  • Email: The email address of the recipient to which the email invitation will be sent.

  • Message: Add a personal message to the recipient in the email. This field will only be visible if “Allow message in invitation” has been enabled in the Recommendation config.

 

Edit a recommendation invitation

You can edit any recommendation invitation at any point, although consider whether it makes sense to edit invitations that have been accepted, declined, or revoked.

To edit a recommendation, select the specific invitation by clicking on its corresponding Screenshot 2024-09-23 at 13.00.24.png button in the “Recommendation invitations” overview page. Inside the specific invitation page, click Screenshot 2024-09-23 at 13.00.54.png.

 

Delete a recommendation invitation

An invitation may be deleted at any time by clicking on the Screenshot 2024-12-03 at 14.38.51.png button inside the specific invitation. Deleting already accepted and/or rejected recommendations will not change their status but merely delete the invitation from the system. However, if a invitation is deleted before an end-user has responded to it, they will no longer be able to respond to the invitation.
