Identities
Under the tab “Identities,” you have the options of creating new identities manually, importing identities, as well as editing, deleting, and searching for identities. Identities hold information about your end-user and can be used to authenticate and authorize them through potential identity providers. If you want the identities to include specific information relevant to your candidacy event you need to create an identity form before you import the identities data.
When you click on the “Identities” tab on the left-hand side menu, you are met with the identity overview page. In this page, you can find the following fields:
Search bar: The search bar at the top allows you to search for end-users' identities by their identifier.
Id: This is a unique ID number that the system creates for every identity. This information is static and cannot be changed or removed.
Identifier: This is a unique identification item that you can attach to an identity to make it easier to find that particular candidate.
Groups: Shows the group to which the identity belongs.
If you click on the blue and underlined fields, the identity data will be displayed in ascending (shown with an arrow pointing up) or descending (shown with an arrow pointing down) order according to that column. Note that you can only order the data by one field at a time.
Each row shows information on a specific identity in the event. Up to 25 identities will appear per page. At the bottom of the page, you have an overview of how many identities there are in total.
There are two ways of adding identities to the Candidacy event. The first way is through manually creating individual identities and the second is through importing a file containing the identities’ information. The creation/importation of identities is also directly tied to the identity form; without an identity form, you cannot create or import identities. In the identity overview page, you can create or import identity data. You can access these options by clicking on the button in the top right corner.
The “New Identity” function allows you to create or add one individual identity manually. Read the Create and import identities | create identity guide to find out more about how to manually create a single identity.
The “Import identities” function allows you to upload a .xlsx or .csv file with your identity data. Using this, you can upload identity data all at once. Read the Create and import identities | import identity guide to find out more about how to import identities both through the manual and automatic import processes.
Manually importing your data gives you more control over said data, as it will allow you to connect every data point from your spreadsheet manually to the system. This is ideal if you make use of your own spreadsheet document with customized columns.
Your identity file can include the following:
Permissions (to determine the permissions of each identity)
Identifier (Unique factor – don’t use sensitive information).
Name.
Email.
Groups, if groups were enabled in the Configuration of the candidacy (see more here).
Enabled, if you want end-users to be enabled/disabled. If omitted, the system will upload all identities as enabled.
The “Automatic Import” function requires that you download the provided example spreadsheet, replace each column’s sample data with your identity information, save it, and then upload it to the system by using the “Automatic Import” button. This function provides a streamlined method of importing identity data. However, for this feature to work properly, do not change the title names of the columns.
The provided example spreadsheet (download it through the hyperlink) includes the following columns:
Identifier to identify them;
Groups if there is more than one group of end-users; and
Enabled if you have end-users who might not need to be activated from the beginning. Identities will be imported as “Enabled” by default unless specified otherwise.
