Create and import identities
To add or create a new identity manually, go to the
tab on the menu to the left.
Click
to create your first identity. All other identities from here on out will be created by clicking on the
button and selecting “New Identity.”
You are now presented with all of the fields available for the identity, each of which you will need to fill out manually. All fields may be edited later on if necessary.
Click on the “Create Identity” button when you have filled in all of the required information to create the identity.
The identity has now been created, and the page you are on should display information about the identity.
This information can be edited by clicking on the “Edit” symbol, . Here, you can save the changes by clicking “Update Identity” or cancel the changes by clicking “Cancel.” Alternatively, you can also delete the identity by clicking the “Delete identity” button.

To bulk import a large amount of identity data, go to the
tab on the menu to the left.
Click
to import your first file – this button will only be shown if there are no other identities already created.
All other files from here on out will be imported by clicking on the
button and selecting “Import identities” from the dropdown menu.
You are now on the page where you can import an identity file. You can import identities either manually or automatically. Additionally, the “Identity Importer” will show you any previously uploaded files and their statuses.
You can delete an identity importer by clicking the magnifying glass, button and then selecting “Delete.”
Click “Import identities manually.“
Select the .csv or .xlsx file with your identity data and click on the “Upload” button.
Check if the preview looks as it should. From here, you click “Map columns” to map the columns from your file to the candidacy system.
Mapping the columns means choosing which columns from your spreadsheet correspond to the system’s columns.
The columns available to map in the system will depend on the way you set up your Identity form – refer to the following pages to read more on identity form: Create a form and Forms.
When you have mapped all columns, you can click “Save changes,” “Cancel” if you want to go back, or click the
to delete the importer.
When importing concludes, you will see a sample of identities. If this looks as expected, you can then push “Validate and import rows.” If something is off, you may go back and edit the mapping if you click “Change columns.”
Alternatively, you may click “Back” to start over. You also have the option of deleting the importer by clicking
and restarting the process.
Once you click “Validate and import rows,” you will be taken to the “Preview of result.” If the mapping looks correct in the preview, click “Start mapping.”
If you have groups enabled and wish to change the identities group, click on “Edit mappings” to do so. Otherwise, skip directly to “Start mapping”.
You also have the option of deleting the importer by clicking
and starting the process anew or clicking “Undo import” to return to the overview of the sample of the identity import.
Download the Example spreadsheet by clicking on either “Example spreadsheet (all columns).”
Open the spreadsheet in your spreadsheet editor.
Replace the information in the spreadsheet with your identities information. Reminder: Do not rename the columns!
Delete columns you do not need for your specific upload.
Save the file in the format CSV UTF-8, comma delimited.
Click on the button “Import identities automatically.”
Select the file you just edited and start the import process by clicking “Upload.”
The file will now create your identities with the information you have provided.
When you choose to import identity data, you will need to use a spreadsheet file. This can either be in .xlsx or .csv format. For the “Automatic Import,” you will need to download the Example spreadsheet made available in the system. This is because the automatic importer uses the specific names of the columns and maps them automatically when importing the rows.
When you prepare your spreadsheet, make sure that you have all relevant information about your identities. The key identity data you must have is:
Identifier to identify them;
Any other data depends on the settings and configurations of your Candidacy. Refer to Identities to read more on the data that your file can include.
